Privacy policy
In short
- dalecheck is a tool businesses use to plan work across their branches and to see it get done. It is made for work, not for advertising: we do not sell your information, and there are no advertising networks or ad trackers in the app or on this website.
- On this website, we only collect what you type into the contact form, and we use it to answer you. See This website.
- In the app, we collect what you give us (your account details, the tasks, comments and proofs you add) and what the app needs to run (device details, notification tokens, diagnostics).
- The business that invites you controls its workspace. The people it allows can see the work you do there, including the photos, videos, recordings, selfies and locations a task asks you for.
- Location is used only when a task asks for it, or when a manager picks a branch's location on a map, and only while you are using the app.
- You can edit your profile, sign out other devices, turn notifications off and delete your account, in the app or on the account deletion page.
1. Who we are
dalecheck is developed and operated by the dalecheck team, Ticuantepe, Managua, Nicaragua ("dalecheck", "we", "us"). This policy explains what information this website and the dalecheck app and its services collect, how we use it, who can see it and the choices you have. Questions go to [email protected].
2. This website
This section covers dalecheckapp.com, the site you are reading. The rest of this policy covers the dalecheck app.
- The contact form: when you send it, we receive your name, your email address, your message and when it was sent. The form is delivered to us by a form-processing service, and we use what you wrote only to answer you and, if you ask, to set up dalecheck for your business.
- Spam protection: the contact form uses Google reCAPTCHA v3, which loads when you scroll to the form. To tell people from automated programs, reCAPTCHA collects information about your browser, your device and how you use the page, and sends it to Google. Google's Privacy Policy and Terms of Service apply to it.
- Fonts: the pages load their fonts and icons from Google Fonts, so your browser shares its IP address with Google when it fetches them.
- Stored in your browser: the site remembers your language and the kind of business you last picked, in your browser's local storage. They stay in your browser and are not sent to us. The site sets no cookies of its own and has no analytics or advertising trackers; reCAPTCHA may set Google's own cookies.
- Hosting: Cloudflare serves the site. Like any web server, it records the IP address, time and page of each request.
- Links to other services: "Book a demo" opens a Google Calendar booking page and the WhatsApp links open WhatsApp. What you share there is covered by Google's and WhatsApp's own privacy policies.
3. How the dalecheck app works
A business sets up a workspace in dalecheck, adds its branches (the places its team works from) and invites people to them as members with a role: owners and admins who run the business, managers and reviewers who plan and check work, and workers who carry it out. Tasks are scheduled per branch, assigned to members, and completed with whatever proof the task asks for.
When a business invites you, that business decides what its workspace contains, who belongs to it and what its members can see. We process the information in that workspace to provide dalecheck to the business and to you. If you have questions about how a particular business uses the records in its workspace, ask that business.
4. Information the app collects
Your account
- Profile: your name, email address, preferred language and, if you add them, a phone number and a profile photo.
- Password: stored only in hashed form. We never see it in clear text.
- Google sign-in: if you sign in with Google, Google sends us your name, email address, profile picture and Google account identifier. We never receive your Google password.
- Verification: the codes we email you to verify your address or reset your password, and when they were used.
The business workspace
- The business's name and industry, its plan and usage, and its branches: name, address, map location and time zone.
- Its members: name, email address, role and permissions, and the email addresses the business types in to invite people.
- Task categories, task defaults and the other settings the business configures.
Work records and proofs
- Tasks: their descriptions, schedules, checklists, assignments and reference files a manager attaches (photos, videos, voice notes).
- Activity: when a task was started, submitted, reviewed, sent back or missed, who did it and which checklist items they checked.
- Comments you and your team write on a piece of work.
- Proofs a task asks for: photos, videos and audio recordings you capture or pick from your library. A task may require proofs captured live with the camera rather than chosen from your library.
- Selfies: some tasks require a selfie, a photo of you taken with the front camera at the moment you complete the work, so the business can confirm who did it. Selfies are photos reviewed by people at your business. We do not run facial recognition on them and do not use them to identify you across businesses.
Location
The app asks for your device's location (precise, while the app is in use) in two situations only:
- When a task asks for it. A task can require that you submit from the branch, or that your position be recorded with the submission. In both cases the app reads your location once, when you submit, and sends it with the submission: latitude, longitude and the position's accuracy. For an at-the-branch requirement, the server checks that position against the branch's location. People at the business who can review the work can see where it was submitted from, on a map.
- When a manager picks a branch's location, to centre the map on where they are.
The app does not track your location in the background and does not collect it at any other time. If you do not grant the permission, tasks that require a location cannot be submitted; everything else works.
Device, sessions and notifications
- Device details sent when you sign in, so you can recognise your sessions under Manage sessions: the device's manufacturer and model (or the browser's name on the web), its operating system and version, the app's version and a random identifier the app generates for the device.
- Server logs: our servers record the IP address, time and requested resource of each request, as web servers routinely do.
- Notifications: if you allow notifications, a push token issued by Firebase Cloud Messaging for your device or browser, so we can tell you about assignments, comments, reviews and due work.
Diagnostics
To find and fix problems, the app records which screens you open, the actions you take, the requests it makes to our servers, how long they take and any errors, together with your user id, session id and the id of the business you are working in. A sample of this data, and every error, is sent to our diagnostics provider. It is not used for advertising or sold.
Stored only on your device
The app keeps your sign-in tokens in the device's secure storage, and keeps preferences on the device: the business and branch you last opened, light or dark appearance, the camera you last used and whether you were already asked about notifications. These stay on the device and are removed when you sign out or uninstall the app.
Permissions the app asks for
Each permission is requested the first time a feature needs it. Refusing one only limits that feature.
- Camera
- To capture photos, videos and selfies as proof of work.
- Microphone
- To record audio proofs and the sound of video proofs.
- Photos and files
- To pick existing photos or videos as proof, or as reference files on a task.
- Location (while in use)
- See Location above.
- Notifications
- To tell you about assignments, comments, reviews and due work.
5. How we use information
- To provide dalecheck: schedule work, deliver assignments, collect proofs and show the people at your business what was done.
- To answer what you send us through the contact form or by email.
- To send notifications about your work, and emails about your account (verification codes, password resets, invitations).
- To keep your account secure: verify your email address, list and revoke sessions, detect misuse.
- To apply the business's plan limits, and to measure usage against them.
- To find and fix problems and make the app more reliable.
- To comply with the law and enforce our terms.
We do not sell personal information, we do not show advertising and we do not share your information with advertisers or data brokers.
6. Who can see your information
People at your business
Members of a business see what their role allows. Typically, owners, admins, managers and reviewers can see members' names and email addresses, the tasks assigned to them, the proofs they submit (including selfies), where location-required work was submitted from, comments and reports summarising the branch's work. Members of other businesses cannot see any of it. Leaving or being removed from a business ends your access to its workspace.
Service providers
We use companies that process information on our behalf, only to provide their service to us and under contracts that restrict what they may do with it:
- Cloudflare hosts this website and the web app, and stores the files you upload (proofs, reference files, profile photos). Files are served through short-lived signed links.
- Hosting providers run our servers and database.
- Google: Google Sign-In when you choose it; Firebase Cloud Messaging to deliver notifications; Google Maps Platform to draw maps, search addresses and show where work was submitted; and, on this website, reCAPTCHA and Google Fonts. Branch coordinates and submitted locations are sent to Google to render those maps and look up addresses.
- Axiom receives the diagnostics described above.
- An email delivery provider sends the account emails described above.
- A form-processing service receives what you send through this website's contact form and delivers it to us.
Other cases
- When the law requires it, or to respond to a valid legal request.
- To protect the rights, safety or property of our users, the public or dalecheck.
- If dalecheck is involved in a merger, acquisition or sale of assets, in which case this policy continues to apply to your information.
7. How long we keep information
- Contact form messages are kept for as long as we need them to answer you and follow up. Email us to have yours deleted.
- Your account is kept until you delete it. See Deleting your account for what goes and what stays.
- A business's workspace is kept while the business keeps it. Its owner can delete the business, which removes its branches, members, tasks and files.
- Work history is kept for the period included in the business's plan.
- Files are deleted when they are removed from a task, when the task is deleted, or when the business is deleted.
- Sessions are kept until you sign out, revoke them or they expire.
- Diagnostics and server logs are kept for a limited period, long enough to investigate problems, and then deleted automatically within 30 days.
8. Your choices and rights
- Profile: edit your name, photo, phone number and language under your account.
- Sessions: see every device signed in to your account and sign any of them out under Manage sessions.
- Notifications: turn them on in the app, and off in your device's or browser's settings.
- Permissions: withdraw camera, microphone, photos or location access at any time in your device's or browser's settings.
- Invitations: decline an invitation and nothing about you is kept in that business; leave a business to end your access to its workspace.
- This website: clear your browser's site data to remove the language and business it remembers.
- Access, correction, portability, objection: email us and we will help. Depending on where you live, you may have these and other rights under local law, and the right to complain to a supervisory authority.
Deleting your account
Delete your account in the app under Account → Delete account, or sign in on the account deletion page (app.dalecheckapp.com/account/delete). You confirm it with your password, or with Google if you sign in with Google; an account without a password can set one with Forgot password first. The deletion happens at once and cannot be undone.
- Deleted immediately: your email address, phone number, password, profile photo and the link to the Google account you sign in with, every session on every device, and your notification tokens, so no more notifications are sent. You are signed out everywhere, and the same email address can be used for a new account.
- Your businesses: you leave every business you belong to, and pending invitations to you are withdrawn. A business you own where you are the only active member is deleted with your account, with its branches, tasks and files. A business you own where other people are still active has to be handed to one of them first (Manage → Transfer ownership, which they accept), or deleted, before your account can be.
- Kept by the businesses you work in: the work you did inside a business's workspace (tasks you completed, proofs including photos, selfies and locations, comments, checklist checks and task history) belongs to that workspace and stays with it, still showing your name, and your name stays on the business's member list as a former member. It stays until the business deletes it or the business itself is deleted; the business's plan may hide older history sooner. Ask the business if you want it removed.
- Your account record: if nothing in any business refers to you, the record of your account is removed entirely. Otherwise only your name stays, on those records.
- Monitoring and diagnostic data, which carries your account's internal id but not your name or email, is deleted automatically within 30 days.
We email a confirmation to the address that was on the account, naming any businesses that were deleted with it and the address to write to with questions.
If you cannot sign in, email [email protected] from the email address on your account and we will delete it within 30 days, as described above. We may keep information where the law requires it or to resolve disputes.
9. Children
dalecheck is a workplace tool and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has created an account, email us and we will delete it.
10. Security
Information travels encrypted between the app, this website and our servers. Passwords are hashed, sign-in tokens are kept in the device's secure storage, uploaded files are reachable only through expiring signed links, and access inside a workspace follows each member's role and permissions. No system is perfectly secure, so please use a strong password and sign out devices you no longer use.
11. Where information is processed
We and our service providers may store and process information in countries other than the one you live in, including the United States. Wherever it is processed, this policy applies and we take steps to protect it.
12. Changes to this policy
When we change this policy we will publish the new version at this address and update the effective date. If a change is significant, we will also tell you in the app or by email before it takes effect.
